Data Deletion & Retention

This page explains how long Vanilla and Cinnamon Store LLC keeps personal information, how that information is deleted, and how you can ask us to delete information we hold about you. It supplements our Privacy Policy.
1. How to request deletion
Send an email to hello@vanillaandcinnamon.com with the subject line "Data Deletion Request". To help us find your records, please include:
- the name used on the order;
- the order number, or the marketplace and approximate order date;
- the email address associated with the order;
- a short statement of what you would like deleted โ a specific order, your customer images, or all information we hold.
You do not need an account with us to make a request, and there is no charge. We will not treat you differently for making one.
2. What happens next
- Acknowledgement โ we confirm receipt within five business days.
- Verification โ we confirm that the request comes from you or your authorized agent. We may ask for information matching what we already hold. We do not ask for identity documents unless the request covers a large volume of data.
- Action โ we delete or irreversibly de-identify the information across our production systems and backups.
- Confirmation โ we write to you describing what was deleted and identifying anything we are legally required to keep.
We complete requests within 45 calendar days. If a request is complex we may extend this once by a further 45 days, and we will tell you before we do.
3. Retention schedule
Even without a request, we delete information on the following schedule.

4. How deletion is carried out
- Records are removed from live databases and object storage.
- Encrypted backups are rotated on a fixed cycle; any copy of a deleted record still present in a backup is not restored into production and ages out with that backup, within 35 days.
- Where a record must be kept for tax or legal reasons, we delete every field that is not required for that purpose and restrict access to the remainder.
- De-identification, where used instead of deletion, removes names, addresses, contact details and order identifiers so that a record cannot reasonably be linked back to an individual.
5. What we may need to keep
We may decline part of a deletion request where the information is needed to:
- complete an order you have already placed, or process a return or refund in progress;
- comply with a legal obligation, including tax and accounting record-keeping;
- detect and prevent fraud, or protect against malicious or illegal activity;
- establish, exercise or defend legal claims.
If we do decline part of a request, we will tell you which part and why.
6. Orders placed on the Amazon marketplace
Deleting information from our systems does not delete the copy Amazon holds. Amazon is an independent controller of your account and order history. To exercise rights against Amazon's own records, use the privacy tools in your Amazon account.
